Service Window: Datacenter maintenance

The internet provider for Kolab Now, NTS, planned changes to some configurations of the access routing in the Bern datacenters. Therefore we hereby declare a service window on this coming:

                        Tuesday, 2024-08-27 @ 18:00 UTC until 22:00 UTC

Users will experience a 5 minute outage at some point during this window. Unfortunately we are unable to narrow down a more close time slot for the 5 minute outage. We will however update this note with any update that we get from the provider.

2024-08-27 @ 20:34 UTC – Update: Network access has been interrupted since 19:30 UTC and we are in contact with NTS to re-establish access as soon as possible. 

 

2024-08-27 @ 20:48 UTC – Update: Network connection was re-established and Kolab Now is back up and running. Mails arriving during the downtime was delayed – not deleted. No mails was lost.

An update with more details will be posted here as soon as we know the details. We regret any inconvenience that this extra downtime has caused.

Urgent Service Window: More updates to frontend servers

A list of needed updates are ready to be deployed at Kolab Now – Some of these updates are of some urgency. Therefore we hereby announce an Urgent service window for:

Wednesday 2024-05-29 @ 07:00 UTC (09:00 CEST)

The service window will last for an hour.

Users can keep working, but at some point during the one hour service window, the webclient and the dashboard will be unavailable for a few minutes. Users will be logged out and will need to login again.

This blogpost will be updated with status of the work during the service window.

Service Window: Update of front end servers

A list of needed updates are ready to be deployed at Kolab Now – Some of these updates are of some urgency. Therefore we hereby announce a service window for:

Monday 2024 – 04 – 08 @ 07:00 UTC (09:00 CEST)

The service window will last for an hour. Users can keep working, but they will experience a short hickup outage at some point during that period.

One important fix that will be deployed during this service window is:

  • Roundcube: Update of calendar invitation cause the message “Failed to import event”, and the event is not updated. This has been resolved in the update.

Service window postponed – Due diligence..

Last week we announced a service window that was supposed to start and be in session about now. However, following due diligence we went through the list of activities last night and found that we had overseen an important step in the plan. The operations that are going to happen are on the backend servers, are quite sensitive, and we would like to avoid any problems. We therefore suspend the current service window and hereby declare it for the coming Friday:

Announcing Service Window: Caching infrastructure..

Lately we have had reports from users of the Kolab webclient who saw a variety of issues such as: login issues, some data entries being hidden and showing up again and folder creations failing. As this was seriously affecting the reliability of the webclient, we put the deployment of new features on hold to investigate the root cause of those issues.

Announcing Service Window: More replacement of old infrastructure..

This Friday’s service window was being executed well, and while assisting in replacing some old infrastructure, it opened opportunities to proceed down the same track. With that in mind, the Kolab Now operations team will perform more maintenance on the infrastructure of the Kolab Now platform on Friday, 27th of January 2023 at 10:00 UTC.  The update will move more of backend services to newer infrastructure. No new features visible to end users will be enabled during this maintenance.

The service window is expected to last for no more than 4 hours, ending on Friday, 27th of January 2023, at 13:00 UTC.

Incident report: ‘Gateway Timed-out’ at login

On Saturday January 14th, 2023, from approximately 03:47:12 UTC a group of Kolab Now users observed an error stating: “Gateway time-out” when trying to login to the webclient, the dashboard, or connect with any desktop or mobile client. The Kolab Now main page https://kolabnow.com/ and all other services (Support, blog and knowledge base) were available with no issues for these same users.

The issue lasted until approximately 08:04:22 UTC, and was caused by a db server in one of the clusters being stuck in a large operation. The issue caused troubles with the login procedure, but had no impact on the mail flow. No mail was lost or delayed during the incident.
